Who it is for
Companies running Subiekt GT, Subiekt nexo, ERP Optima or PC-Market – with too much manual typing
Wholesalers and warehouses
Goods receipts, deliveries to customers, transfers between warehouses and order picking straight from the shelf.
Shops and retail chains
Price and stock checks, shelf labels with barcodes, assigning new EAN codes without walking to a PC.
Stocktaking
Several collectors count one warehouse in parallel. The server adds it all up and creates the stocktaking sheet in Subiekt, with a preview of differences before closing.
How it works
Three steps from a scan to a document in your ERP
The server sits next to the ERP and talks to its database and API (Sfera). The collector works on its own copy of the data, so scanning does not depend on Wi-Fi coverage.
Download data
With one tap the collector downloads products with barcodes, customers, warehouses, stock levels, prices and bin locations. Later syncs are incremental and take seconds.
Scan
The worker logs in with a PIN, opens a document and scans. The app shows the name, stock and location, merges repeated codes and watches quantities against the order.
Send
The server validates codes, stock and the customer, posts the document through Sfera (Subiekt) or the API (Optima) and returns the document number. An error comes back with a description on the exact line – no guessing.
Features
Everything that is done today with paper and a pen
Order picking: ZK → WZ
Customer orders listed on the collector, lines sorted by shelf, a countdown of picked units and a warning on surplus. The delivery note (WZ) is created as the fulfilment of the order.
Goods receipt: ZD → PZ
The purchase order becomes a receiving checklist. Shortages and surplus are visible at once; the goods receipt (PZ) is created from the purchase order.
Receipt from a KSeF e-invoice → PZ
Purchase e-invoices downloaded from the Polish KSeF system into Subiekt GT or Optima, not yet received, appear on the collector as a checklist. The server fetches the invoice content from KSeF, matches lines to product records (GTIN, Subiekt’s KSeF links, SKU, name) and creates the PZ with quantities and net purchase prices from the invoice. An unmatched line is pointed to manually or a new product record is created from the invoice data.
Invoices with price, discount and payment
On sales invoices and customer orders, every scan opens a quantity and line-discount dialog; on sales and purchase invoices also the price (suggested from the price list or the last purchase price). Payment method and due date are chosen on the collector from the ERP’s list.
WSTO-OSS invoices in foreign currency add-on module
Consumer orders from the Czech Republic, Slovakia and other EU countries: the server issues the sales invoice in the order currency (CZK, EUR), with the consumer country’s VAT rate under the OSS procedure, after the delivery is completed and at the NBP exchange rate of the business day preceding delivery – exactly like an invoice issued manually in Subiekt, outside KSeF. Delivery date from the shipment or the platform status, rate fetched automatically.
Customer signature on delivery
After a delivery note or invoice is picked, the customer signs with a finger on the collector – sees the list of lines, enters their name, and may also refuse. The server stores the signature, creates a “Proof of delivery” PDF (lines, recipient, date, signature, SHA-256 hash), appends “Received by: …” to the document remarks in the ERP and can e-mail the PDF. Enabled in settings, per document type.
Shelf labels
A4 sheets (2×11, 3×11, 3×7 – 70×42 mm) on any printer, or Zebra and TSC label printers. Five templates: standard, price, location, date and shelf (name, SKU, EAN, location, manufacturer logo). Barcodes printed at printer resolution – readable by every scanner.
Bin locations
Subiekt does not know bin locations, so the server stores them. Scan a product and a shelf code – the location shows up while scanning, during picking and on the label.
Price, stock, EAN codes, new products
Check a product by scanning or by typing part of its name or SKU. Assign an unknown code to an existing product straight from the document, and create a new product record (name, SKU, EAN, VAT, price) right while scanning – the server creates it in the ERP and assigns the ID. Change the customer on a draft document without starting over (search by name, SKU or tax ID).
Workers and devices
PIN login; the worker’s name and the collector’s name in the remarks of every document. Each collector has its own token and may be restricted to its own warehouses – it then sees only their stock, counts and orders, and the server rejects a document for another warehouse. Configuration is handed over with a QR code.
Daily report
An e-mail every morning: how many documents, how many lines, which errors, who and on which collector. Document history and full content in the server window.
PC-Market 7 – over Wi-Fi or “as a CipherLab”
Full mode: the server reads products, customers, stock and orders from the PC-Market SQL database and hands receipts from the collector over through pcmEDI as e-invoices – PC-Market creates goods receipts with prices from them. Simple mode: drop-in replacements for the DLookup.exe, Data_Read.exe and ciph8000.exe drivers – the program thinks it is talking to a CipherLab terminal while the data goes to the Android collector.
E-commerce orders: BaseLinker and Apilo add-on module
Orders from shops and marketplaces arrive on the collector as a picking list. The picker scans a tote (POJ-xxx) and the products; the server creates a sales invoice (when the customer wants one) or a receipt in the ERP, changes the order status on the platform, and at packing a scan of the tote prints the courier label downloaded from BaseLinker / Apilo. “Shipped” releases the tote. A new order is a notification on every collector – whoever takes it first picks it; it is locked for the others.
Synchronisers add-on module
Products from the ERP → BaseLinker / Apilo by SKU: price, available stock, name – after the first full sync every later one sends only changes. Orders from the platforms → customer orders in the ERP (once, number stored with the order), and picking from the collector fulfils that order. Every N minutes or on demand. Separately licensed module.
EAN-13 code generator
A product without a barcode – a new record, a line on a purchase invoice or receipt, a card in “Barcodes” – gets a code from the internal GS1 pool (prefix 20–29, default 25, so it never collides with weighed-goods codes). The code is saved in the ERP and on the e-commerce platforms, and a shelf label or a small product tag prints at once.
Shelf and tote codes
The server prints location labels (LOK-R01-02) and tote labels (POJ-001) as Code128. Scanning a shelf label “sticks” the location – the following product scans fill the whole shelf without touching the screen. Receipts (PA) as the ninth document type.
Networked work and permissions
The server runs next to Subiekt, and the program window opens on any number of workstations in the network – without Sfera or ODBC. Every employee has their own account (PBKDF2 password) and sees only the tabs the administrator grants: warehouse – documents and counts, e-commerce – orders and totes, manager – everything. SQL and Sfera passwords and platform tokens in config.ini are encrypted (DPAPI).
Updates from the server
Upload a new app version to the server; the collectors download it themselves from the menu. Data is cleaned up automatically according to the configured retention.
Demo version
Try it on your own data – 14 days, no key and no card
The full server and app. Without a licence key the server runs for 14 days from the first start (all features, including Synchronisers, up to 2 collectors). After that, just enter the key – data, settings and documents stay.

Server (Windows)
A ZIP archive with the installer for the PC running Subiekt GT / nexo, Comarch ERP Optima or PC-Market. Unpack and run setup. Windows 10/11, ODBC Driver 18 (the installer checks).
Already installed? Update package – replaces the program, keeps settings, database and licence.
App (Android 7.1+)
An APK file for a scanner terminal or an ordinary phone. Allow installation from this source; the server can also push updates itself.
Manual and first steps
1. Install the server, start it, log in as admin / admin and point it at the SQL database and Sfera in Settings.
2. Add a device (random token) and show the QR code.
3. In the app scan the QR code, download data, scan.
By downloading and installing the demo you accept the end-user licence agreement (EULA, Polish) – the program is intended for business use; the demo runs for 14 days, with no right to decompile, resell or build competing products. The installer shows the same agreement for acceptance. The program interface and documentation are in Polish.
The demo sends no data anywhere – the server works in your local network. For the trial use a copy of the database or test mode (Sfera disabled – documents do not reach the ERP). Licence key after the trial: contact.
Documents
Nine document types, each validated before posting
The server will not post a document with an unrecognised code, missing stock or a service item on a warehouse document. The worker gets an error description on the line and fixes it on the spot.
| Type | In Subiekt | What the server checks |
|---|---|---|
| PZ | Goods receipt | Customer, goods and packaging only; after posting, a label proposal for the received goods |
| WZ | Delivery note (goods issue) | Stock of each line, customer; fulfils a customer order during picking |
| MM | Inter-warehouse transfer | Source and target warehouse, stock; in nexo as a one-step transfer |
| ZK | Customer order | % discount per line |
| ZD | Purchase order | Supplier |
| FS | Sales invoice | % discount per line, stock effect as configured, stock at issue |
| FZ | Purchase invoice | Supplier’s invoice number (original number) |
| PA | Receipt | Retail sales and e-commerce orders without an invoice; customer optional, price and discount per line |
| INW | Stocktaking sheet / count | Separate sheet or a combined count from several collectors, full count, differences against stock |
Operating modes
Wi-Fi, USB cable or files – like a classic batch terminal
Local network
The collector connects to the server over the company network or the PC’s hotspot. Documents and responses in real time.
Cable
USB tethering gives full functionality without Wi-Fi. The built-in USB-IP server in the app receives documents and accepts data over the cable without developer mode; the ADB automation remains as a second route.
Files
A document as a code;quantity file to load manually in Subiekt and JSON for the server. The server can also exchange TXT files with any other program through configured folders and run its import programs. Works even without a Sfera licence.
Subiekt GT, nexo, Optima and PC-Market
One collector, four systems – plus BaseLinker and Apilo
The app on the collector is the same. The server handles the differences: a switch in settings, separate database queries and a separate integration layer (Sfera GT, Sfera nexo, Optima API).
Subiekt GT
- Sfera for Subiekt GT (COM), Subiekt started in the background in a separate instance
- Stocktaking sheets created directly from the collector
- Document number extension as in the warehouse’s last document
- Customer by SKU, name or tax ID
Subiekt nexo / nexo PRO
- Sfera for Subiekt nexo (.NET), login as a nexo operator
- Stocktaking as a count; you close it in nexo
- Transfers as one-step transfers, invoices with default payment
- nexo barcodes and price lists supported natively
Comarch ERP Optima
- Optima’s built-in COM API – no extra integration licence, login as an Optima operator
- Goods receipts, delivery notes, transfers, purchase and sales invoices, customer reservations (RO), purchase orders (ZD), stocktaking sheet
- Documents posted or kept in the buffer – your choice; numbering per definition and series from the company configuration
- Retail and wholesale prices from the Optima price list in the price checker and on labels
PC-Market 7 (Insoft)
- Reads products, codes, stock, customers and purchase orders from the MS SQL database (SELECT only).
- Goods receipts from the collector through pcmEDI (KSeF format) – with purchase prices and the external document number; stocktaking as a file.
- Or file mode: drop-in replacements for the CipherLab terminal drivers (DLookup, Data_Read, ciph8000).
Requirements
What you need
ERP system
Subiekt GT or Subiekt nexo / nexo PRO with a Sfera licence, Comarch ERP Optima (Trade/Invoices module) or PC-Market 7 on MS SQL with the pcmEDI module. Without Sfera, read mode and TXT files work.
PC
Windows 10/11 with access to the Subiekt or Optima SQL database. The server runs in a window and hides in the tray.
Collector
Any Android 7.1+ device: a scanner terminal (Zebra, Honeywell, Datalogic, Chainway, Newland, Unitech, CipherLab, Point Mobile, Sunmi…) or a phone / tablet scanning with the camera. Device list.
Network
A shared Wi-Fi/LAN, the PC’s hotspot or a USB cable. Nothing goes out to the Internet.
Devices
Runs on any Android – from a rugged terminal to a phone
The app is a regular Android app (7.1 or newer). The hardware scanner works in keyboard mode, exactly as every terminal does out of the box – no extra configuration. Without a scanner the camera scans, and a Bluetooth scanner can be paired as well.
Zebra
TC21 / TC22, TC26 / TC27, TC52 / TC53, TC57 / TC58, TC72 / TC73, TC77 / TC78, MC2200 / MC2700, MC3300x, MC9300, ET40 / ET45.
Honeywell
ScanPal EDA50 / EDA51 / EDA52 / EDA57, EDA70 / EDA71, EDA10A, CT30 XP, CT40 / CT45 / CT47, CK65, CN80.
Datalogic
Memor 10 / 11 / K, Memor 20 / 30, Skorpio X5, Joya Touch 22.
Other manufacturers
Chainway C61 / C66 / C72, Newland MT65 / MT90 / N7, Unitech EA520 / EA630 / HT730, CipherLab RS35 / RS36 / RS51, Point Mobile PM67 / PM75 / PM85, Sunmi L2K / L2s / L3, Urovo DT50 / RT40, iData T1 / T2, M3 Mobile SL20 / UL20.
Phones and tablets
Samsung Galaxy (A, S, XCover, Tab Active), Xiaomi / Redmi, Motorola, Google Pixel, Huawei, OPPO, realme, Lenovo, CAT and others with Android 7.1+ – camera scanning with continuous mode.
External scanners
Bluetooth and USB scanners in HID mode (Zebra, Honeywell, Datalogic, Netum, Inateck…) paired with a phone or tablet – the code reaches the app like keyboard input.
For daily warehouse work we recommend a terminal with a 2D scanner and a swappable battery; for occasional stocktaking or price checks an ordinary phone is enough. Manufacturer and model names are trademarks of their owners.
FAQ
Frequently asked questions
Can a worker scan something twice and duplicate a document?
No. A repeated code is merged into one line (or creates a separate one – your choice), and every document has a unique identifier: sending the same document again does not create a duplicate in Subiekt.
What happens when I scan a code that is not in Subiekt?
The line is saved as “unrecognised”. On sending, the server tries to match it to codes added after the last sync; if it still cannot find it, it rejects the line with a description. A new code can be assigned to a product on the “EAN codes” screen.
I already have collectors of another brand / I want to use employees’ phones – will it work?
Yes. The app runs on any device with Android 7.1 or newer: Zebra, Honeywell, Datalogic, Chainway, Newland, Unitech, CipherLab and other terminals use the scanner in keyboard mode with no configuration, and phones and tablets scan with the camera or a Bluetooth scanner.
I have PC-Market (or another program supporting CipherLab terminals). Can it be connected?
Yes. We supply drop-in replacements for the DLookup.exe, Data_Read.exe and ciph8000.exe drivers with the same names and parameters. The ERP exports products and imports the count as it would from a CipherLab, while in the background the data goes over USB to the Android collector.
Can we work without Wi-Fi in the warehouse?
Yes. Scanning works offline on a copy of the data anyway. Sending can go through USB tethering, through the ADB automation over the cable, or through TXT/JSON files copied like from a batch terminal.
How many workers and collectors can be connected?
Any number of workers (a list with PINs on the server). The number of collectors follows the licence; each has its own name and token, and its documents are shown separately in the history and the daily report.
Can several people do a stocktake at the same time?
Yes – a combined count. The administrator creates the count on the server (name + warehouse), every collector selects it when starting a new stocktake and sends its lines even after every shelf; the server adds everything up, shows progress, lets you preview lines as CSV, and on closing creates the stocktaking sheet in Subiekt (optionally with stock 0 for goods nobody scanned).
Can a new product record be created from the collector?
Yes. After scanning an unknown code the app offers “Create product”: name, SKU, unit, VAT, price. The record works on the collector at once, and on sending the server creates it in Subiekt GT / nexo / Optima and assigns the ID – the document with that product goes through in the same step.
We have KSeF e-invoices in Subiekt. Can the warehouse receive a delivery “from the invoice”?
Yes. The collector shows purchase e-invoices downloaded into Subiekt GT / Optima that have not yet been received. Selecting an invoice creates a goods receipt with lines, quantities to receive and net purchase prices from the invoice; the warehouse worker scans goods as with a receipt from a purchase order. Lines the server could not match to product records are pointed to manually or turned into a new record – the data (name, GTIN, price) is already filled in. The server logs in to KSeF with a token or the company certificate only to read the invoice content.
We sell through Allegro / a shop with BaseLinker (or Apilo). What does the warehouse get?
A list of orders to pick on the collector. The worker scans a tote and the products, and the server creates a sales invoice or a receipt in the ERP, changes the order status and at packing prints the courier label downloaded from the platform. This is in the basic licence. The separately licensed Synchronisers module keeps prices and stock in the platform up to date from the ERP (by SKU, changes only) and creates a customer order for every platform order.
A product has no barcode – what then?
One tap: “Generate EAN-13”. The server issues the next code from the internal pool (prefix 25, one counter for all collectors), saves it on the product record (and in BaseLinker / Apilo if connected) and offers to print a shelf label or a small product tag.
How does the demo work?
You install the regular installer from this page and do not enter a key. The server counts 14 days from the first start (the date is stored in the server database and resists clock changes), works with 2 collectors and all modules. After the period it stops accepting documents but deletes nothing – after entering a licence key (Settings → Licence) you continue with the same settings and data.
What does deployment look like?
Installing the server on the PC with Subiekt, configuring SQL and Sfera, entering collectors and workers, installing the app with a QR code. Usually one afternoon, remotely or on site. You get a manual for the server and the app.
Is the program available in English?
The server window, the Android app and the manual are currently in Polish – the program is built around Polish ERP systems (InsERT Subiekt, Comarch Optima, PC-Market) and Polish tax rules (KSeF, OSS). If you run one of these systems in a company with an English-speaking team, get in touch: a translated app interface can be delivered as part of the implementation.
